Automating task and subtask creation is a powerful feature in Lawcus that allows you to streamline your workflow and save time. By using workflows, you can automatically generate tasks and subtasks, assign them to team members, and ensure that all necessary steps are completed. This article will guide you through the process of automating task and subtask creation with workflows.
Steps to Automate Task Creation through the Workflow
Go to the
Automationsection from the left-side menu and click on+ Add Workflowto create a new workflow.Add the
Workflow NameandWorkflow Description.Setup
Matter moved to stageas theTrigger Typefor your workflow, and set up thePipelineandStageand click onContinue.Select
Add Taskas the nextactionand clickNext.Set up the
Matter Id/Lead Idby clicking onUse Matter Value from triggerand then selectMatter Id/Lead Id. This ensures that the task details are automatically populated based on the matter that triggered the workflow.If you want to do it for a particular matter or lead, click on
MATTER ID/LEAD IDtab andscroll downorsearchandselectthe target matter or lead.Add the name of the task under
Task titleand then, add aDescriptionof the task.Add the
Start DateandDue Dateif required. You need to add the conditions ofStart Date and End Date calculationsbased on theTrigger DateorMatter Open DateorStatute of LimitationorMatter Close Date. You also need to decide theQuantity,Type (Business Days or Calendar Days or Months or Years)andBefore or After Conditionto calculate perfectly. Once all set, click onDone.Click on
Assign toand selectASSIGN TOtab to search orselect assigneefrom the dropdown. You can select multiple assignees.If you want to assign it automatically, click on
Custom taband then click onUse Matter Value from triggerand choose betweenMatter originating timekeeperorMatter responsible timekeeper.Click on
Add userif you wish to add more users to the task.Add Tagsif necessary.You can also add
sub-tasksto the tasks. To add one or multiple subtasks under a main task in workflow automation, locate theSubtasksfield and click the+ (Plus Icon) button.Enter the name of the subtask in the
Task titlefield and assign it to an attorney or team member who is responsible for completing it. Follow the same process for the assignment of tasks.Finally, click on the
Savebutton to complete the process.

Creating Recurring Tasks through Workflows
When you click on the
Due Dateoption associated with the task as mentioned above, you will see theRepeat Settingoption within the prompt window.Click on
Repeat Settingsto decide whether to repeat the task.Select between;
Dailyto repeat it daily.Periodicallyto custom decide the interval. Decide the interval in number of days.Weeklyrepetitions are based on the number of weeks, and you can also decide the Day on which you want to repeat them.Monthlyto repeat based on number of Months and you can also decide the Day (Date) on which you want to repeat.Or, select
Yearlyto decide on yearly repetition.
Click on the
Closebutton to close the pop-up.Click on
Doneto save theDue Date.
