How to Configure the Add Task Action in Workflows?

Learn how to configure the Add Task to Matter action through automation.

Automating task and subtask creation is a powerful feature in Lawcus that allows you to streamline your workflow and save time. By using workflows, you can automatically generate tasks and subtasks, assign them to team members, and ensure that all necessary steps are completed. This article will guide you through the process of automating task and subtask creation with workflows.

Steps to Automate Task Creation through the Workflow

  1. Go to the Automation section from the left-side menu and click on + Add Workflow to create a new workflow.

  2. Add the Workflow Name and Workflow Description.

  3. Setup Matter moved to stage as the Trigger Type for your workflow, and set up the Pipeline and Stage and click on Continue.

  4. Select Add Task as the next action and click Next.

  5. Set up the Matter Id/Lead Id by clicking on Use Matter Value from trigger and then select Matter Id/Lead Id. This ensures that the task details are automatically populated based on the matter that triggered the workflow.

  6. If you want to do it for a particular matter or lead, click on MATTER ID/LEAD ID tab and scroll down or search and select the target matter or lead.

  7. Add the name of the task under Task title and then, add a Description of the task.

  8. Add the Start Date and Due Date if required. You need to add the conditions of Start Date and End Date calculations based on the Trigger Date or Matter Open Date or Statute of Limitation or Matter Close Date. You also need to decide the Quantity, Type (Business Days or Calendar Days or Months or Years) and Before or After Condition to calculate perfectly. Once all set, click on Done.

  9. Click on Assign to and select ASSIGN TO tab to search or select assignee from the dropdown. You can select multiple assignees.

  10. If you want to assign it automatically, click on Custom tab and then click on Use Matter Value from trigger and choose between Matter originating attorney or Matter responsible attorney.

  11. Click on Add user if you wish to add more users to the task.

  12. Add Tags if necessary.

  13. You can also add sub-tasks to the tasks. To add one or multiple subtasks under a main task in workflow automation, locate the Subtasks field and click the + (Plus Icon) button.

  14. Enter the name of the subtask in the Task title field and assign it to an attorney or team member who is responsible for completing it. Follow the same process for the assignment of tasks.

  15. Finally, click on the Save button to complete the process.

Note: Workflows & sub-tasks are available in Lawcus Plus and Enterprise plans.

Creating Recurring Tasks through Workflows

  1. When you click on the Due Date option associated with the task as mentioned above, you will see the Repeat Setting option within the prompt window.

  2. Click on Repeat Settings to decide whether to repeat the task.

  3. Select between;

    1. Daily to repeat it daily.

    2. Periodically to custom decide the interval. Decide the interval in number of days.

    3. Weekly repetitions are based on the number of weeks, and you can also decide the Day on which you want to repeat them.

    4. Monthly to repeat based on number of Months and you can also decide the Day (Date) on which you want to repeat.

    5. Or, select Yearly to decide on yearly repetition.

  4. Click on the Close button to close the pop-up.

  5. Click on Done to save the Due Date.
