This article provides a step-by-step guide on how to optimize and configure the 'Add Task' action in workflows.

In this example, the 'Add Task' action triggers when a matter transitions to a new stage in the pipeline, such as moving from pre-trial to discovery. Once this transition is done, the associated 'Matter moved to stage' trigger will execute.

Click the + icon to add the action. Click the down arrow and then select the 'Add Task' action.

Configure the 'Add Task' action.

Matter: Select an existing matter from the list, or use a custom value. If you choose the custom value option, you'll be prompted to select the Matter ID from the trigger record or a previous step.

Task Title: You can Enter the task's name or click the field's icon to select from other available values. You can also include the matter name in the title for easier identification of the task.

Description: Enter a brief description of the task to be performed. Or, click the icon to select a value from the trigger record or the record referenced in previous steps.

Start/Due Date: Specify the start and end dates for the Taks.(If Applicable)

  • Click the "another date" dropdown for more date options. The date can be either the trigger date, custom field date, or task date from the previous step (only if there is an add task action before this).

  • You can specify a date before or after a certain number of business or calendar days. Use the drop-down menu next to "After/Before" to toggle between the two options.

  • Click on "quantity" to select the number of days.

  • Click "Done" to save your changes. If you need to remove a previously selected date, click "Remove," or click "Cancel" to discard changes.

In the example below, the Due date has been set 4 business days after the trigger date. In our example, this means the task will be created when the workflow is triggered and will be due 4 days after creation.

Assign User: You can assign the task to your team members or specifically to the originating/responsible attorney of the matter/lead based on the previous actions in the workflow.

Add User: Click the Add User link to assign the task to multiple.

Tags: Tags in Lawcus allow you to categorize your Tasks.
You can then easily filter tasks based on tags or generate custom reports as well.

Add Sub-Tasks:ย Complex tasks often have multiple milestones that may make it seem like no progress is being made. Breaking these tasks into sub-tasks provides clarity and structure, revealing true progress.

Enter the task's name or click the field's icon to select from other available values and assign the task to the user.

With the 'Add Task' action, you can enhance your workflow, achieve better organization, and gain clear insight into the firm's progress, ultimately boosting your efficiency and productivity within Lawcus.
