One of the key actions within your legal workflow is 'Create Person.' In this guide, we'll walk you through the process of configuring the 'Create Person' action in Lawcus, enabling you to maintain accurate and organized records of individuals associated with your legal matters.

Steps to Configure the Create Person Action

Let's understand this with a scenario where a New Appointment is Scheduled, and we want to add the person in Lawcus automatically.

  1. Go to Automation on the left and click on + Add workflow under the Workflows tab.

  2. Add a Workflow Name and Workflow Description.

  3. Add Trigger Type as New scheduler appointment and click on Continue.

  4. Complete the Setup by selecting either Any scheduling page or Specific teammate scheduling page. Finally, click on Continue.

  5. Add the Create Person action and click Next.

  6. Map the fields with the required values. Note that in all scenarios, you have the Merged Field option, click on it and select Use Scheduler value from trigger and click on the dropdown option and select the desired field to capture dynamic values.

    1. Enter the Prefix for the person being created or select Merged Field to select available values from the Trigger.

    2. Enter the First Name or select Merged Field to select available values from the Trigger.

    3. Enter the Last Name or select Merged Field to select available values from the Trigger.

    4. You can enter the Email and Phone number or select Merged Field to select available values from the Trigger.

    5. Click Down Arrow in the field to display a list of available contacts to select from under Referred By tab, if applicable. Or, click Use a Custom Value for more options. If you select this option, you will be prompted to select referred-by values from the trigger record or the record referenced by the previous step if this is not the first step.

    6. If an Avatar exists for this person, enter the URL path to the image or select Merged Field to select available values from the Trigger.

    7. Enter the Title of the person being created or select Merged Field to select available values from the Trigger.

    8. Enter the URL for the Website associated with this person or the organization the person represents, or select Merged Field to select available values from the Trigger. Be sure to include http:// or https:// at the beginning of the URL, as applicable.

  7. If custom fields have been defined for matters, you can select them by clicking the Custom Fields button.

  8. Click on the Tags button to enter tags or keywords for this matter. You can later use these tags to search for this matter.

  9. Finally, click on Save to complete the workflow.
