Understanding User Account Management in Lawcus

Create new user account or invite users or delete or deactivate user accounts with easy and quick steps.

User account management is always a crucial aspect of any software solution that allows you to manage all your subscription-related affairs, including billing, security, access management, etc. Let's understand various aspects in detail.

Create a New User Account or Invite a New User

Inviting your teammates to Lawcus is an excellent way to enhance collaboration and streamline workflow.

Steps to Add a New User

  1. Click on your User Avatar in the top right-hand corner and select Manage your organization.

  2. In the Users tab, click on +New User.

  3. Enter the Email Address of the teammate you want to invite.

  4. Choose the appropriate Role for your teammate from the dropdown.

    Please note that assigning the user role is a very important step where you are defining their level of access to the system. Please approach this carefully.

  5. Click on Invite Member.

  6. Your teammate will receive an email invitation containing a link to join your Lawcus organization. If they don't see the email in their inbox, ask them to check their spam or junk folder.

To change the role of an existing user, locate the row for the user and click the Edit Icon on the far right. Then, choose the desired role from the dropdown list and click Update to save your changes.

Steps to re-invite a User

  1. Navigate to your Avatar Icon.

  2. Click on Manage your organization.

  3. Choose Users.

  4. Find the user you want to re-invite and click Reinvite.

Remove a User Account on Lawcus

You can remove a user from your organization's team in Lawcus, whether due to their temporary involvement or any other reason. Deleting a user account will sever their work ties with your team, and they will no longer have access to work-related communications or client files.

Note: Deleting a user account will not affect any contributions made by the deleted user. You will still have access to notes or any other files they added to shared matters, but their name will be replaced with "N/A."

Steps to Delete a User Account

  1. Click on the Avatar Icon and select Manage your organization.

  2. Navigate to the user you want to remove and click on the Delete Icon (Trash).

    Note: If the delete icon is not visible, scroll to the right to reveal it.
  3. You will be asked for confirmation. Click on the Yes button. This will ensure the User Account is removed.

Deactivate a User Account

Deactivating a user from your organization is seamless. You can do this temporarily or permanently. Deactivating a user account does not affect any contributions made by the deactivated user. You'll continue to have access to all contributions by that, but the user will lose access to the system.

The key difference between Deleting/Removing and Deactivating is that when you deactivate a user, the user name will still be reflected in all contributions. In contrast, if the user name is removed, it will be replaced by N/A. You can resume the user's access by simply turning on the toggle, but in case of removal, you need to recreate the user account.

Steps to Deactivate a User Account

  1. Click the Avatar Icon and select Manage Your Organization.

  2. Navigate to your desired user and click the Edit Icon.

    Note: If the edit icon isn't visible, drag the scroll bar to the right to reveal it
  3. Switch off the Active user toggle to deactivate the user and click on Update to save the changes.

FAQ1: Can I add a user in Lawcus without assigning a role?

Answer: No, Lawcus requires every user to have an assigned role as part of its role-based system for managing permissions and access levels.

FAQ2: Is it possible to convert an existing user profile into a new one when we have a new hire?

Answer: For a new hire, we will need to create a new account which will incur a charge. However, we offer a free conversion of an existing user profile.
