Bulk Update lets you update multiple tasks at once rather than editing each task individually. Simply select the tasks you want to modify, choose the field you’d like to update, and apply the changes to all selected tasks in one action.
Who can use Bulk Update?
Bulk Update permissions depend on the user’s role.
Role | Bulk Update | Download | Delete |
Owner | ✅ Yes | ✅ Yes | ✅ Yes |
Admin | ✅ Yes | ✅ Yes | ✅ Yes |
Member | ❌ No | ❌ No | ❌ No |
Co-counsel | ❌ No | ❌ No | ❌ No |
Client | ❌ No | ❌ No | ❌ No |
Custom Role | ✅ Only if Bulk Update permission is enabled | ❌ No | ❌ No |
Important:
Download and Delete actions are available only to Owners and Admins.
If your role does not have Bulk Update permission, the bulk action bar will not appear.
Bulk Update only affects tasks that you have permission to view. Private tasks that are inaccessible to you are never modified.
How to Bulk Update Tasks
Navigate to Tasks.
Select the checkbox beside each task you want to update.
Once tasks are selected, the Bulk Action Bar appears at the bottom of the page.
Choose the field you want to update.
Select the new value or action.
Confirm the update.
The Bulk Action Bar includes the following options:
Status
Stage
Due Date
Priority
Assignee
Tags
Matter/Lead
Download (Owners and Admins only)
Delete (Owners and Admins only)
Update Status, Stage, or Priority
Status, Stage, and Priority are single-value fields.
To update them:
Select the desired tasks.
Choose Status, Stage, or Priority from the Bulk Action Bar.
Select the new value.
Confirm the update.
The selected value replaces the existing value on all selected tasks.
Update Dates
Bulk Update offers multiple ways to manage task dates.
Update a Due Date
Select your tasks.
Choose Due Date.
Pick a new date.
Save your changes.
If the selected tasks have different due dates, the field displays Multiple until you choose a new date.
Update the Start Date
If Start Dates are enabled for your workspace, you can update them in the same way as Due Dates.
Extend Dates by a Number of Days
Instead of assigning a fixed date, you can shift task dates by a specified number of days.
This is useful when an entire schedule needs to move forward or backward.
When using Extend Number of Days:
Each task moves relative to its existing dates.
Both the Start Date and Due Date shift together, preserving the gap between them.
You can enter a negative number to move dates earlier.
Choose whether to calculate using Business Days or Calendar Days.
Tasks without a Due Date are skipped.
If a task has a Due Date but no Start Date, only the Due Date is updated.
Update Assignees
Tasks can have multiple assignees. Bulk Update provides three options:
Add
Adds the selected users to every chosen task while keeping existing assignees.
If a user is already assigned, they will not be added again.
Replace
Removes all current assignees and replaces them with the users you select.
At least one assignee must be selected.
Remove
Removes selected assignees from the chosen tasks.
Only tasks that currently include those assignees are updated.
You can bulk assign:
Teammates
Contacts
Portal Users
Update Tags
Tag management works the same way as Assignees. Choose one of the following options:
Add
Adds the selected tags to every task without creating duplicates.
Replace
Replaces all existing tags with the selected tags.
At least one tag must be selected.
Remove
Removes selected tags from tasks where they currently exist.
Move or Copy Tasks to Another Matter or Lead
The Matter/Lead option provides two actions.
Move to Matter/Lead
Moves the selected tasks from their current Matter or Lead to another one.
When tasks are moved:
Assignees remain assigned.
Tags are preserved.
Dates remain unchanged.
Subtasks move with the parent task.
Add to Matter/Lead
Creates copies of the selected tasks and links the copies to another Matter or Lead.
The original tasks remain unchanged, while the copied tasks retain:
Assignees
Tags
Dates
Subtasks
A destination Matter or Lead must be selected before confirming either action.
Download Tasks
Owners and Admins can download the selected tasks using the Download option in the Bulk Action Bar.
This option is not available for other user roles.
Delete Tasks
Owners and Admins can permanently delete selected tasks using the Delete option.
This action is unavailable to all other roles, including custom roles with Bulk Update permission.
Where Bulk Update is Available
Bulk Update works consistently anywhere tasks can be viewed, including:
Tasks page
Tasks tab within a Matter
Tasks tab within a Contact
The same Bulk Action Bar and update options are available in each location.
