How to Set Up the Update Lead Action in Lawcus

Learn to configure Update Lead action to update prospect details, intake answers, and pipeline stages.

The Update Lead action allows you to automatically update an existing lead record in Lawcus when a workflow runs. This helps keep your intake pipeline accurate and reduces the need for manual updates as prospective clients move through the intake process.

You can use the Update Lead action to:

  • Update prospect contact information.

  • Populate custom fields with information collected through intake forms.

  • Update lead details based on workflow activity.

  • Advance leads to the appropriate pipeline stage as they progress.

  • Keep lead records consistent throughout the intake process.


How to Add the Update Lead Action

  1. Open Workflows from the left navigation menu.

  2. Create a new workflow or open an existing workflow.

  3. Configure the workflow Trigger and any required Conditions.

  4. Click Add Action.

  5. Select Update Lead.

  6. Select the lead fields you want to update.

  7. Enter the values or map information from the workflow trigger to the corresponding fields.

  8. Save the action.

  9. Publish or activate the workflow.


Configure the Update Lead Action

Configure the specific fields you wish to update on the lead record.

Important Note: You only need to fill out the fields you want to change. Any field left blank will keep its original value. When entering data, you can type static text for fixed updates across all records, or use merge tags to map dynamic data directly from your workflow trigger or preceding action steps.

1. Identifying the Lead & Updating Details

  • Matter Id/Lead Id (*): Mandatory field. Map this dynamically using merge tags to pull the Lead ID from your trigger or a previous search step so Lawcus targets the exact lead record.

  • First Name & Last Name: Update the prospect's name manually or map updated dynamic values.

  • Location: Modify or update the prospect's general location.

  • Email & Phone: Click Add Email or Add Phone to update or append contact details.

  • Address Fields: Modify street, city, state, zip code, or country details.


2. Lead & Pipeline Tracking

  • Lead Source: Update where the prospect came from.

  • Description: Add or revise inquiry notes using text, dynamic form answers, or AI writing tools.

  • Matter Pipeline & Stage: Reassign the pipeline or advance the lead to a new intake stage.

  • Matter Practice Area: Change the practice area linked to the prospect.

3. Team Assignments & Contacts

  • Timekeepers: Update the Originating or Responsible Timekeeper handling the intake.

  • Members & Related Contacts: Grant access to additional team members or link secondary contacts.

4. Custom Fields & Tags

  • Potential Contact Custom Fields: Expand this section to map dynamic contact-level responses (such as client answers from intake forms).

  • Potential Matter Custom Fields: Expand this section to map dynamic lead/case-level responses into custom fields.

  • Potential Contact Tags & Potential Matter Tags: Expand these sections to append new tags for easy filtering across Lawcus.


Example Scenarios

  • Consultation Stage Advancement: Automatically update a lead's stage to "Consultation Booked" and log meeting notes when an appointment is scheduled.

  • Intake Response Sync: Automatically update contact email, phone, and custom questionnaire fields on a lead card following an intake form submission.
