How to Automatically Create Leads Using Workflows in Lawcus

Use the Create Lead action to automatically capture and organize prospective client information from intake forms and other workflow triggers.

You don't have to create leads manually every time. Lawcus provides an efficient solution by allowing you to automate lead creation using workflows.

The Create Lead action in Lawcus automatically creates a new Lead whenever a workflow runs. This helps your firm capture prospective client information without manually creating Lead records.

You can use this action with different workflow triggers, including Intake Form Submitted, to automatically turn submitted intake information into an organized Lead record.

Add the Create Lead Action to a Workflow

To configure the Create Lead action:

  1. Go to Automation.

  2. Click + Add Workflow or open an existing workflow.

  3. Select the Trigger that should start the workflow.

  4. Click Continue.

  5. Select Create Lead as the action.

  6. Click Next to configure the Lead details.

Use the available fields to define the information that should be added to the new Lead.

Note: Any text entered manually into a field is saved as static information and will be applied to every Lead created by the workflow. To populate unique information for each Lead, such as the prospect’s name, email, phone number, or intake responses, use dynamic Merge Tags from the workflow trigger.

1. Basic Contact Details

Configure the Lead’s basic contact information:

  • Contact Type: Select Person or Company.

  • First Name and Last Name: Enter the Lead’s name or use dynamic values from the workflow trigger. These fields are required.

  • Location: Add the Lead’s location or address.

  • Email: Click Add Email to enter or map an email address.

  • Phone: Click Add Phone to enter or map a phone number.

  • Address: Add the street, city, state, ZIP code, and country as needed.

2. Lead and Pipeline Information

Configure how the new Lead should be tracked:

  • Lead Source: Specify where the Lead originated, such as Website, Referral, or Google Ads.

  • Description: Add notes or a summary about the inquiry. You can also use AI writing assistance to rephrase or clean up the text.

  • Matter Pipeline: Select the pipeline where the Lead should be tracked.

  • Matter Stage: Select the initial stage for the Lead.

  • Matter Practice Area: Assign the relevant practice area.

3. Timekeepers and Team Assignments

Assign the team members responsible for the Lead:

  • Matter Originating Timekeeper: Assign the team member responsible for originating the Lead.

  • Matter Responsible Timekeeper: Assign the team member responsible for managing the Lead.

  • Members: Click Add Member to give additional team members visibility and notification access.

  • Related Contacts: Click Add Related Contact to connect other contacts to the Lead.

4. Custom Fields and Tags

You can also populate additional information using Custom Fields and Tags:

  • Potential Contact Custom Fields: Add information to Contact-level Custom Fields.

  • Potential Matter Custom Fields: Add information to Lead-level Custom Fields.

  • Potential Contact Tags: Apply Contact-level tags.

  • Potential Matter Tags: Apply Lead-level tags.


Common Use Cases

The Create Lead action can help automate several intake scenarios:

Intake Form Submissions: Automatically create a Lead when a prospect submits an Intake Form.

Appointment Bookings: Create a Lead when a prospective client schedules an initial appointment.

Web Form Submissions: Capture information from incoming forms and create organized Lead records for your intake team.


Using Merge Tags for Dynamic Lead Information

Use dynamic Merge Tags when you want information from the workflow trigger to automatically populate each new Lead.

For example, when using the Intake Form Submitted trigger, you can map information submitted through the form to the corresponding Create Lead fields.
