How to Create Custom Invoice Templates in Lawcus?

Create custom invoice templates to fully adhere to branding requirements and reflect all unique requirements on your invoices.

As a law firm, it's essential to present your clients with professional invoices that reflect your brand image. Lawcus makes it easy to customize your invoices to your exact specifications and save them as templates, streamlining the invoicing process and saving you time.

Remember, you can always change the template for an invoice at any time by clicking on the Edit option. This flexibility allows you to experiment with different designs or adapt to evolving branding strategies.

Steps to Create Custom Invoice Templates

  1. Click on your User Avatar in the top-right corner, then select Settings.

  2. From there, click on Bill Settings and then Invoice Templates.

  3. Finally, click on Add Template to create your new invoice template.

  4. Once you have completed all the required edits, click on the Template Name field and add the desired name.

  5. Click on Save to wrap up the process.

  • To make the template the default, click the Is Default toggle.

  • Click on Cancel to not to save the template.

  • Click on Remove to delete saved templates.

Custom Template Settings

Invoice Theme

In Lawcus, invoice themes are pre-designed layouts that let you customize the look of your invoices to match your brand or personal style. Lawcus offers three themes—Simple, Modern, and Pro—each with a unique aesthetic:

  • Simple Theme: Clean and minimalistic, emphasizing essential details. Ideal for a clear, no-frills professional look.

  • Modern Theme: Sleek and contemporary, with stylish typography. Perfect for a fresh, modern brand image.

  • Pro Theme: Formal and traditional, with classic fonts and structured layouts. Suited for law firms, financial institutions, and businesses seeking a polished, professional appearance.

You can look over each invoice theme option to see which one works best for you. We recommend the Pro theme for its professional and elegant appearance.

Theme Color

Select a theme or accent color that looks good and complements your law firm's logo or branding color. If you don't have any suitable options, you can use a search engine to find color codes that match your preferences better. Copy such codes and paste them for quick selection.

Invoice Setting - Select the Currency

The Invoice Settings section within template customization includes an option to select your desired currency from a comprehensive list of available currencies. When a user selects a particular template, the pre-set default currency for that template will automatically be applied.

Default due date

Specify the default payment period for clients to pay the entire invoice amount before it becomes overdue.

Billed to

Under this section, you can customize the text labels on your invoice and also opt to show those labels on Invoices if required. You can manage labels for the following:

  • Billed to

  • Amount due

  • Total amount due

  • Matter label

  • Matter Name

  • Invoice Number

  • Issue Date

  • Due Date

  • Apart from that, you can also include the client's email address.

Company information

You can control which aspects of your law firm's details appear on the invoice by checking or unchecking relevant check boxes. By default, all checkboxes are checked. Additionally, you can customize each invoice template with your company logo, address, etc. This feature is handy if you have multiple office locations, as you can customize the templates accordingly to bill your clients accurately. Following are the areas you can customize here:

  • Logo

  • Company Name

  • Company Phone

  • Company Street

  • Company City

  • Company State

  • Company Zip

  • Company Country

Flat fees

In the flat fees section, you can edit or remove labels to show only the necessary details by checking the box and eliminating what you don't want to display. The following are the details you can customize here;

  • Flat fees label

  • Date Table label

  • User table

  • Description table

  • Amount table

  • Discount label

  • Flat fees total label

  • Nonbillable items

Time entries

In the time entries section, you can modify & customize the label texts and choose whether to display such field.

It allows you to customize the same fields as Flat fees.

Expenses

Like time entries, in this section, you can modify & customize the label texts and choose whether to display such field.

It allows you to customize the same fields as Flat fees & Time Entries.

Other info

This section allows you to display and edit additional labels on the invoice. Also, it gives you the flexibility to decide what info to be displayed on the invoices simply by selecting the checkbox. Following are the fields managed here:

  • Subtotal

  • Lines Discount

  • Discount label

  • Total label

  • Amount paid

  • Amount due

  • Terms

Default terms and note

If you wish to include terms, conditions, or any other relevant notes on your invoice, you can do so in this section. By default, these fields are disabled and only appear once you enter the content. This allows you to customize the invoice to your liking and include any necessary information for your clients.

Statement of accounts

This section allows you to customize your invoice template by editing the labels or checking the respective checkboxes to choose which labels to display for accounts. Here are the fields you can customize;

  • Outstanding invoices

  • Outstanding invoices grouping by matter or client

  • Trust balance

  • Credit Balance

  • Number label

  • Due date

  • Amount

  • Payments

  • Balance

Payments Summary

This section is enabled by default to provide a summary of the amount due for the current invoice. However, if you don't need this feature, you can uncheck the box to disable it. You can also edit the labels related to payments here;

  • Payments summary label

  • Date

  • Source

  • Amount

Trust Requests settings

In this section, you can add or edit your invoice's credit and trust request labels, including deciding what labels to display. The following fields are managed here;

  • Trust request label

  • Credit request label

  • Description column

  • Date column

  • Total

Aggregation Settings

You can also set the aggregation default at the template level such as:

  • All Details: Each activity within the specified date range is listed individually.

  • Activity Summary: A summary that presents all activities into a single line item for each activity category.

  • Activity Summary & All Details: Activities are summarised into single line item with detailed information for each activity provided on the last page.

  • Aggregate All: Combines all activity into a single line item.

Default Tax Settings

You can decide the default taxes applicable and apply them to the templates to automate them when creating a new invoice using such templates. You can choose both Primary and secondary Taxes here.


FAQ Section

FAQ1: What is the font used in invoices?

Answer: We use Roboto font from Google.

FAQ2: How do I customize the language on my invoice?

Answer: When customizing your invoice templates, you can easily adjust the language by using the localization feature. This allows you to add or edit field labels in your preferred language. Simply update.

FAQ3: Can I change the matter name format on invoices?

Answer: Yes, you can choose from three matter name formats for your invoices based on your needs: Matter Name, Matter Number, and Matter Name (Matter Number). Once selected, the format cannot be changed for existing invoices, so be sure to pick the one that works best for you.

FAQ4: Can I put two billing addresses or contacts on an invoice?

Answer: We don't currently have this functionality. An invoice can only be associated with one client and one matter at a time.

FAQ5: Can I place my firm letterhead on an invoice?

Answer: Customizing the invoice template in Lawcus is possible. However, currently, we do not have the feature to use the firm's letterhead.
