Understanding Time Insights in Lawcus

Time Insights in Lawcus provides you and your team with a comprehensive, visual overview of how time is being spent, both billable and non-billable, on a weekly basis. It empowers users and admins to better manage productivity, billing, and overall efficiency.

Whether you're tracking your own time or managing a team, Time Insights helps answer key questions:

  • How is time being allocated across matters?

  • Are billable targets being met?

  • Which matters or users need more focus?

Note: Access to All Timesheets is permission-based. To manage access, go to Manage Your Organization and select Roles and Permissions to define user roles.

  • Users with the Team Activities permission can view timesheets for all users, including both My Timesheets and All Timesheets.

  • Users with only the Personal Activities permission will be limited to their own entries and can access My Timesheets only.

Navigating Time Insights

Time Insights is divided into the following sections:

  1. All Activities: View all time-related entries in one place under the All Activities, and view the segregation under the following heads:

    1. Time Entries

    2. Expenses

    3. Flat Fees

  2. Insights: This Insight shows only your personal time entry summary, not the whole team.

  3. My Timesheets:

    1. Shows your personal weekly timesheet view.

    2. Separates billable vs non-billable time.

    3. Offers visual insights into how your time is distributed across matters.

    4. Ideal for managing your daily or weekly workflow and tracking targets.

  4. All Timesheets:

    1. Provides team-wide timesheet data (based on permissions).

    2. Admins and users with appropriate access can review how the team is utilizing time.

    3. Useful for managing productivity across multiple users.

  5. Settings: Customize the order in which "All Activities", "My Timesheets", and "All Timesheets" are displayed.

Using My Timesheets

This view helps you stay on top of your weekly performance. Key features include:

  1. Weekly Navigation:

    1. By default, the current week is shown.

    2. Use the Arrows to move to the past or future weeks.

    3. Click This Week to return to the current week instantly.

  2. View Filters: Choose between:

    1. Show All: View Billables, Non-Billables, and Billable + Non-Billable in separate sections.

    2. Billable Only: Only Billable entries will be displayed.

    3. Non-Billable Only: Only non-billables will be displayed.

    4. Billable + Non-Billable: Total billable and non-billable will be displayed.

    5. Note: Filters apply across the dashboard and summary charts.

  3. Matters/Leads Overview:

    1. View all matters or leads you've logged time against.

    2. Click + Add Matter/Lead to add more.

    3. Select from a searchable list and can add multiple items at once. Once selected, click on the Add Matter button to add them.

    4. Once added, click any cell in the weekly grid (Total, Billable, or Non-Billable) to add a time entry for that matter.

    5. The system will pre-fill the Date, Matter Name, and billing details.

  4. Daily Time Summary:

    1. Each column shows the total time for a day based on your selected filter.

    2. A horizontal bar chart visually displays billable vs. non-billable time per day.

    3. Hover over bars for exact values.

  5. Weekly Matter Totals:

    1. Each row shows the total time per matter for the week.

    2. Same filters apply; see billable, non-billable, or combined totals.

    3. Weekly goal indicators help you track whether targets are being met.

Using All Timesheets (Team View)

If you have Team Activities permissions, you’ll have access to All Timesheets. This section is essential for managing team productivity and time allocation.

Note: If you only have "Personal" access, you'll only see My Timesheets. Contact your admin for expanded access.

  1. Weekly View:

    1. Functions the same as My Timesheets.

    2. Use arrows to move between weeks.

    3. Use This Week to quickly return to the current week.

  2. View Filters: Same options as My Timesheets:

    1. Show All

    2. Billable Only

    3. Non-Billable Only

    4. Billable + Non-Billable

  3. Select Timekeepers:

    1. Choose specific team members whose timesheets you want to review.

    2. Use the checkbox list to select/deselect individuals. You can bulk select/deselect as well.

    3. A search bar helps you quickly find timekeepers.

  4. Daily Totals by User:

    1. View daily totals by user at the bottom based on the view filter.

    2. A horizontal bar chart visually displays billable vs. non-billable time per day.

    3. Hover over bars for exact values.

  5. Weekly Totals by User:

    1. View each user's total hours for the selected week.

    2. Easily identify who may need support to meet their targets or adjust their workload.

Steps to View Other Users' Time Insights in Detail

  1. Navigate to All Timesheets.

  2. Hover over the name of the user whose details you want to view.

  3. Click Open to see their detailed time insights.

Steps to Update Billing Rate and Targets for Users

  1. In All Timesheets, hover over the user’s name.

  2. Click the Settings icon next to the name.

  3. Enter or update the following details:

    1. Hourly Rate

    2. Target Billing Amount Per Year

    3. Working Days Per Year (Default: 250 days)

  4. Click Apply Changes to save your updates.

The user’s billing target will be visually represented as a daily bar chart (mentioned above), helping you track progress at a glance.
