How to Configure Workflow Reminders in Lawcus

Set reminder timing, recipients, and messages to automate follow-ups at the right time.

Workflow Reminders in Lawcus let you automatically send email or SMS reminders based on a specific date, time, or event. You can control when the reminder is sent, choose the recipient, and personalize the message using Merge Tags.


Setting Up a Reminder in a Workflow

  1. Navigate to Automations.

  2. Create a new Workflow or open an existing Workflow.

  3. Select the Trigger that should start the Workflow. For example, you can trigger a Workflow when an Event is created, an Invoice is created, or another supported action occurs.

  4. Add the Reminders action.

  5. Select the type of reminder you want to send.

  6. Choose the delivery method, such as Email or SMS.

  7. Configure the reminder date and time.


Understanding the Reminder Date Settings

When configuring a reminder, the Trigger Date section determines when the reminder should be sent. This section includes the reference date, the quantity, the time unit, and whether the reminder should be scheduled before or after that date.


1. Trigger Date

The Trigger Date determines the reference point from which Lawcus calculates when the reminder should be sent.

Depending on the Workflow and its trigger, you may have different date options available. For example, if the Workflow is triggered when an Event is created, you may be able to select:

  • Trigger Date – The date and time when the Workflow is triggered.

  • Event Start Date – The scheduled start date and time of the Event.

After selecting the reference date, you need to configure the following:

  • Quantity: The number of days, business days, calendar days, months, or years.

  • Time Unit: Determines whether the quantity is calculated in Business Days, Calendar Days, Months, or Years.

  • Before/After: Determines whether the reminder should be sent before or after the selected reference date.


2. Understand the Value and Unit Settings

The Value and Unit determine any additional time adjustment applied to the reminder.

For example, to send a reminder 2 business days after the Trigger Date, plus 15 minutes, configure:

  • Date: Trigger Date + 2 Business Days

  • Value: 15

  • Unit: Minutes

  • Timing: After

Lawcus will calculate the reminder based on the selected reference date and apply the configured time adjustment.



3. Selecting the Recipient

After configuring the reminder date and time, select the person who should receive the reminder.

You can use Merge Tags to automatically select the appropriate recipient based on the Workflow trigger.

For example, if the Workflow is related to an Event, you can select the Event Matter Client as the recipient.

You can also add additional recipients if needed.


4. Adding the Subject and Message

Once the recipient is selected:

  1. Enter a Subject for the reminder.

  2. Add the message you want to send.

  3. Use Merge Tags where appropriate to automatically include relevant information.

For example, a subject could be:

Event Reminder – Upcoming Appointment

The message can include details such as the client name, Event name, date, or other relevant information using Merge Tags.
