Tags are beneficial in the context of leads and matters and play a significant role in workflow triggers and other automated actions associated with leads and matters. These include:

  • Triggers - Tags can be utilized to trigger actions when certain events occur, such as lead or matter creation, updates, movements, closures, and more.

  • Actions - Leveraging tags, you can perform various automated actions, such as creating or updating leads or matters, sending emails, generating invoices, and more.

By employing tags strategically within your firm's processes, you can streamline and optimize workflows, ensuring efficient and consistent handling of leads, matters, and related actions.


Using Tags to Create Workflow Entry Rules

In this sample automation that emails a client to notify them of the creation of a file for their new matter, the workflow is triggered by Matter Created, while Matter tags are used to create entry rules.

To create entry rules using tags, follow these steps:

  1. Go to Automation and click on the Add button.

  2. Enter a name and description for your workflow.

  3. Select "Matter Created" as the trigger type.

  4. In the Entry rules section, click on Add condition.

  5. Specify the field (e.g., Matter tags), field condition, and value. Then click Continue.

  6. Choose "Send email" as the desired action and proceed to the next step.

  7. Set up the email action by specifying the teammate and recipient name, email subject, and message. Click Save to finalize.

Adding Tags to Matters with Workflow

This sample workflow updates new matters that have been moved to a specified pipeline stage by adding tags and other information.

To automate the process of adding tags to matters, use the following steps:

  1. Go to Automation.

  2. Enter a name and description for your workflow.

  3. Choose "Matter moved to stage" as the trigger type and select the desired pipeline stage. Click Continue.

  4. Set up the "Update Matter" action and proceed to the next step.

  5. Specify the updates you want the workflow to apply, such as tags, responsible attorney, and hourly rate.

  6. Click Save to complete the creation process.
