The Tasks module in Lawcus has been redesigned to provide a more structured and flexible way to manage work. With Smart Task Views, you can customize how tasks are displayed, organize them based on your workflow, and control who can access specific views.
This article explains each feature in detail, along with step-by-step instructions to help you get started.
Accessing the Tasks Module
Navigate to Tasks from the main menu
At the top of the page, you will see two sections:
My Tasks - Displays only the tasks assigned to you. This helps you stay focused on your individual workload.
All Tasks - Displays tasks across the firm, depending on your role and permissions.
Creating Task Views
Smart Task Views allow you to create customized layouts for viewing tasks based on your specific needs.
Option 1: Create a New View
Click Create View
Select the View Type:
List View (tabular format)
Kanban View (board format) - helps visualize tasks as they move through different stages.
Choose the Visibility Setting:
Private View: Only you and people with access can see this view.
Public View: Everyone in your organization can view. Manage/Edit access stays limited.
Configure the following:
Enter a View Name
Use a clear and descriptive name (e.g., “High Priority Tasks”, “Stage View”)
Select Grouping (e.g., Stage, Assignee, Priority, Tags, Status, and Due Date)
Defines how tasks are organized
Example: Group by Stage to track progress
Choose Visibility and Sharing settings
Choose Fields to Display
Determines what information is visible
Examples:
Due Date
Assignee
Priority
Custom fields
Adjust the Layout
Organize the structure to improve readability and usability
Option 2: Copy an Existing View
If you want to build on an existing setup:
Open an existing view and click Customize
Click Duplicate
Update the copied view:
Modify grouping
Add or remove fields
Adjust layout
This option is useful when you want to make small adjustments without starting from scratch.
Reordering Views
You can arrange your views in a way that suits your workflow.
Steps:
Go to the Gear icon on the top right of the Tasks page
Select Reorder Views
Drag and drop views to reorder them
Notes:
This is a personal setting
Changes only affect your view order
Other users will not see your arrangement
Key Features and Stage Management in Kanban Views
Kanban View Features
Each column represents a group (for example, Stage)
Tasks are displayed as cards within each column
You can control what information appears on each card using the Customize Card option
Card settings are saved as part of the view
Available options for each stage in the Kanban View:
Rename stage
Collapse stage
Mark all tasks as complete
These settings ensure your Kanban view remains consistent and aligned with your workflow every time you access it.
Sharing Task Views
Once you create a view, you can control who can access it and what level of interaction they have. This allows you to share useful views across your team while maintaining control over changes.
Option 1: Make the View Public
The view becomes accessible to all users who have access to the Tasks module
Ideal for standard views that the entire team should use
Editing access can still be restricted if needed
Option 2: Make the View Private
You can limit access to selected users for more controlled collaboration.
Steps:
Select the users or groups you want to share the view with
Assign the appropriate permission level:
View Only – Users can access and use the view but cannot make changes
Edit Access – Users can modify the view, including layout, fields, and settings

Sharing views makes it easier to stay organized and work more efficiently.
Managing Task Stages
Task stages define how tasks move through your workflow and can be customized to match your firm’s processes. You can create, update, reorder, or disable stages as needed to keep your workflow structured and relevant.
Available Actions
Admins and the Firm Owner can:
Create new stages – Add stages that align with your workflow
Rename stages – Update stage names for better clarity
Reorder stages – Arrange stages in a logical sequence
Deactivate stages – Disable stages that are no longer in use
To Manage Stages
Click the Gear icon on the top right of the Tasks page
Select Manage Stages
Notes-
Only Admins and the Firm Owner can manage task stages
This ensures consistency and prevents unintended changes to the workflow
Restricting Access to Tasks
Lawcus provides permission settings to control how users access tasks. These permissions help ensure that users only see and manage the tasks relevant to their role.
There are two levels of task access:
1. Tasks (Full Access)
This permission allows users to:
Create tasks
Assign tasks to other team members
View both My Tasks and All Tasks
When enabled:
Users can access all tasks based on their permissions
They can manage tasks across the firm, not just their own
2. My Tasks (Limited Access)
This permission restricts users to only their assigned tasks.
When enabled:
Users will only see the My Tasks section
The All Tasks tab will not be visible
Users can only view and manage tasks assigned to them
Note:
Restricting users to My Tasks is useful in situations where full visibility is not required, such as:
Interns
Temporary staff
Contractors
Roles that should not access firm-wide tasks
