How to Create and Manage Task Lists for Matter Stages in Lawcus

Automatically create tasks whenever a matter is added to or moved into a specific stage in your matter pipeline.

Written by Devanshi Kackar

Task Lists in Lawcus allow you to create a predefined set of tasks for each stage within a matter pipeline. Whenever a matter enters a specific stage—either through the creation of a new matter or by moving an existing matter into that stage—Lawcus automatically generates the assigned tasks. This helps streamline repetitive processes, maintain consistency, and improve workflow efficiency without the need to build a custom automation workflow.

How to Access Task Lists

  1. Go to Matters from the left-side menu.

  2. Open the desired pipeline. If you do not have custom pipelines, you can use the Default pipeline.

  3. Locate the stage where you want tasks to be created automatically.

  4. Click the three-dot menu next to the stage name.

  5. Select Task List.

If tasks have already been configured for that stage, they will appear in the Task List window.

How to Create a Task List

  1. Open the Task List window for the desired stage.

  2. Click Add Task.

  3. Enter the task details:

    • Name – Enter the title of the task.

    • Description – Add any instructions or notes (optional).

    • Due In – Specify the number of days until the task is due.

    • Business Days or Calendar Days – Choose how the due date should be calculated.

    • Responsible User – Select the user who should be assigned to the task.

  4. Click Save.

  5. Repeat these steps to add additional tasks to the list.

How Task Lists Work

Once a Task List is configured for a stage:

  • Creating a new matter directly in that stage will automatically generate all tasks in the Task List.

  • Moving an existing matter into that stage will also generate the tasks automatically.

  • The generated tasks will appear:

    • In the Tasks section within the matter, and

    • In the main Tasks tab on the left-side menu.

No additional workflow or automation setup is required.

Edit or Remove a Task from a Task List

  1. Open the Task List for the desired stage.

  2. Click the task you want to edit.

  3. Click the arrow icon in the top-right corner to expand the task details.

  4. Make the necessary changes.

  5. Click Update to save your changes.

To delete the task, click Remove.

Important Notes

  • Task Lists can only be created and managed from the Matter pipeline stage view. They are not available in the Lead pipeline.

  • Each time a matter enters a stage, all tasks in that stage’s Task List are created automatically.
Example: If a matter is moved to the Discovery stage twice, the Discovery tasks will be created twice.

  • Tasks created through a Task List are visible to all team members who have access to the matter.

Best Practices

  • Use Task Lists for repeatable processes and checklists.

  • Assign tasks to the appropriate team members.

  • Set realistic due dates.

  • Be cautious when moving matters back into a stage, as duplicate tasks may be created.

Summary

Task Lists in Lawcus help you automate recurring tasks by creating predefined task lists for specific matter stages. Whenever a matter enters that stage, the tasks are automatically created, assigned to the appropriate team members, and displayed both in the matter’s Tasks section and in the main Tasks tab.
