How to Create and Use a User-Activated Workflow

Run workflows manually for specific Leads or Matters to automate tasks and follow-up actions.

A User-Activated Workflow allows you to manually trigger a workflow for a specific Lead or Matter whenever needed. Unlike automated workflows, it does not run automatically and must be applied by a user.

This is ideal for a lot of actions, such as creating a Matter, sending an eSignature request, sending an intake form, or performing other workflow actions on demand.


Creating a User-Activated Workflow

Follow these steps to create a User-Activated Workflow:

  1. Navigate to Automations.

  2. Click + Add Workflow.

  3. Select User Activated as the workflow trigger.

  4. Choose who can execute the workflow:

    • Anyone – Any user with the appropriate permissions can manually run the workflow.

    • Specific User – Only the selected user will be able to execute the workflow.

  5. Click continue to proceed.

  6. Add the actions you want the workflow to perform. For example, you can:

    • Create a Matter

    • Send an eSignature request

    • Send an Intake Form

    • Create a Task

    • Send an Email

    • Or add any other supported workflow actions

  7. Once you have finished configuring the workflow, click Update Workflow to save your changes.

Your User-Activated Workflow is now ready to be used.

Executing a User-Activated Workflow

To manually run the workflow:

  1. Navigate to the desired Lead or Matter.

  2. From the Quick Actions menu on the right-hand side, click Apply Workflow.

  3. Select the User-Activated Workflow you would like to run.

  4. Click Apply.

The selected workflow will immediately execute for that specific Lead or Matter.


Note: Only User-Activated Workflows that you have permission to run will appear in the Apply Workflow list.
