How to Set Up the New Calendly Appointment Scheduled Trigger in Lawcus

Learn how to set up the New Calendly Appointment Scheduled trigger to run automated workflows whenever a client books a meeting via Calendly.

The New Calendly Appointment Scheduled trigger automatically starts a workflow whenever a new appointment is booked through Calendly. This allows you to streamline your intake and client scheduling, allowing you to automatically search for existing contacts, create new leads, update records, or assign follow-up tasks as soon as a meeting is booked.


Prerequisites: Connecting Calendly to Lawcus

Before using this trigger, make sure your Calendly account is connected to Lawcus:

  1. Go to Settings > Apps & Integrations.

  2. Locate Calendly and follow the prompts to connect your account.

Note: Calendly can be integrated with Lawcus, but it will only trigger workflows for paid accounts (non-Free accounts).



Configure the Trigger

When creating a workflow:

  • Under Step 1 – Setup Trigger Type, click the Select Trigger dropdown.

  • Select New Calendly appointment scheduled.

  • Click Continue.


Configure the Workflow Setup

In Step 2 – Setup, you can specify which scheduling pages should initiate the workflow using the dropdown fields:

  • Any Scheduling Page: Select Any scheduling page under the Scheduling Page dropdown if you want the workflow to trigger whenever an appointment is booked on any connected teammate's scheduling page.

  • Specific Teammate & Scheduling Page: Select a specific Teammate to display their connected Calendly scheduling pages, then pick their specific Scheduling Page (e.g., "30-Minute Consultation") to run the workflow only when an appointment is booked through that exact page.


Add Entry Rules

To fine-tune when the workflow runs, expand the optional Entry Rules section. Entry Rules allow you to set specific criteria, such as filtering by answer fields, email domains, or specific appointment details, before the workflow executes.

Select Actions

Once your trigger and entry rules are set, click Continue to select your automated actions. You can choose any action from the available list based on your firm's process. Some common examples include:

  • Searching for existing contacts or leads in Lawcus using search steps.

  • Creating a new Contact or Lead automatically from the Calendly booking details.

  • Updating existing lead details or adding internal tasks for your team to prepare for the meeting.
