How to Set Up the New Lawcus Appointment Scheduled Trigger in Lawcus

Set up the New Lawcus Appointment Scheduled trigger to automatically run workflows when an appointment is booked through Lawcus.

The New Lawcus Appointment Scheduled trigger automatically kicks off a workflow whenever a client schedules an appointment through your native Lawcus appointment booking pages. This keeps your intake process fast and organised, allowing you to automatically create or update leads, search existing records, and assign follow-up tasks the instant a booking is confirmed.


Prerequisites: Setting Up Your Lawcus Appointment Scheduler

Before using this trigger, ensure that your appointment scheduling pages are set up in Lawcus. Every user has two ways to open and manage their scheduling pages:

  1. Via Settings: Go to Settings > Apps & Integrations > Appointment Scheduler.

  2. Via Calendar: Go to the Calendar tab and click on Appointment Scheduler.

Note: Users can view and manage their own created booking pages directly; workflow builders can select and build automated workflows for any team member's page.


Configure the Trigger

When creating a workflow:

  • Under Step 1 – Setup Trigger Type, click the Select Trigger dropdown.

  • Select New Lawcus appointment scheduled.

  • Click Continue.


Configure the Workflow Setup

In Step 2 – Setup, you can control which Lawcus scheduling pages will fire the workflow:

  • Any Scheduling Page: Select Any scheduling page under the Scheduling Page dropdown. This will run the workflow whenever an appointment is booked on any teammate's Lawcus scheduling page across your firm.

  • Specific Teammate & Scheduling Page: Select a specific Teammate to view their scheduling pages, then select their specific Scheduling Page (e.g., "Initial Consultation"). The workflow will then execute only when a client books through that exact page.


Add Entry Rules

If you need to filter which appointments trigger the workflow, expand the optional Entry Rules section. Entry Rules act as smart filters, allowing you to set conditions based on invitee details, specific appointment question responses, or booking values before any automated actions take place.

Select Actions

After setting up your trigger and entry rules, click Continue to configure your automated actions. You can pick any action from the available list to fit your workflow needs, such as:

  • Searching for existing contacts or leads to prevent duplicate records.

  • Creating new Contact or Lead records automatically using the booking details.

  • Updating existing Lead or Matter records as soon as the appointment is confirmed.

  • Assigning prep tasks or sending confirmation notifications to your team.
